Who We Are
RUTE Solutions ("we," "us," or "our") provides managed IT, networking, security, cloud, and infrastructure services. We are the data controller responsible for the personal information described in this policy.
This Privacy & Cookie Policy applies to our website and related forms, our newsletter, and our site assistant. It does not cover services we deliver under a separate client agreement, which are governed by that agreement and any data processing terms within it.
Information We Collect
Information You Provide
- Contact Forms: Name, email address, phone number, company name, service interest, and the contents of your message.
- Newsletter Signups: Email address, and the page or source you subscribed from.
- Site Assistant: The messages you send to our assistant, plus any email or phone number you choose to share in that conversation. See Site Assistant & AI.
Information Collected Automatically
- Technical Data: IP address, browser and device type, operating system, and referring page. We record a limited technical record with form and assistant submissions to prevent abuse.
- Usage Data: Pages visited, navigation paths, and interaction events, collected through privacy-first analytics and, with your consent, additional analytics tools.
- Security Data: Signals from our spam and bot protection (Cloudflare Turnstile) and rate-limiting used to keep the site available and safe.
We do not intentionally collect special categories of data (such as health, biometric, or financial account information) through this website. Please do not submit sensitive information through our forms or assistant.
Site Assistant & AI
Our website offers an AI-powered assistant to answer questions about our services. To make it work and to follow up on genuine inquiries, we process and store the following:
- The conversation messages, a session identifier, the page you were on, your browser type, and the detected language.
- If you include an email address or phone number in the chat, we may detect and store it so a person can follow up with you.
- Conversations are processed by Cloudflare's AI to generate replies and short summaries for our team.
The assistant is a convenience, not a secure channel. Please do not share passwords, account credentials, or other sensitive details. Your conversations are not used to train third-party public AI models.
How We Use Your Information
Respond & Support
Reply to inquiries, provide quotes, and deliver the information or services you request.
Marketing (with consent)
Send newsletters, service updates, and industry insights you opted in to. You can unsubscribe anytime.
Improve Our Site
Understand how the site is used so we can improve performance, content, and usability.
Security & Legal
Prevent fraud and abuse, keep the site secure, and meet our legal obligations.
Our Legal Bases
Where data protection law (such as the EU/UK GDPR) applies, we rely on one or more of these legal bases:
- Consent: For optional analytics and marketing cookies and for newsletter signups. You can withdraw consent at any time.
- Legitimate interests: To respond to inquiries, secure our site, and understand aggregate usage, balanced against your rights.
- Contract: To take steps you request before or as part of an engagement.
- Legal obligation: To comply with applicable laws and lawful requests.
Third-Party Services
We work with a small number of trusted providers. Most act as our processors under contractual safeguards and may only use your data to provide services to us. Independent providers, such as Google Analytics, process certain data under their own privacy policies.
Cloudflare, Inc.
Website hosting, content delivery, edge compute and database, privacy-first analytics, bot and spam protection (Turnstile), and the AI that powers our site assistant.
Privacy policy →Brevo
Contact management and delivery of newsletters and transactional email (such as confirmations and our notifications).
Privacy policy →Google (Analytics 4)
Optional, consent-based website analytics with IP anonymization. Loads only after you accept cookies.
Privacy policy →International Data Transfers
We are based in the United States, and our providers may process data in the United States and other countries. If you access our site from outside the U.S., your information may be transferred to and processed in a country with different data protection laws. Where required, our providers rely on recognized transfer mechanisms, such as the European Commission's Standard Contractual Clauses, to protect your data.
Data Retention
We keep personal information only for as long as it serves the purpose it was collected for, or as long as the law requires:
- Inquiries and leads: Kept while we are in contact and for a reasonable period afterward to support follow-up and our records.
- Newsletter subscribers: Kept until you unsubscribe or ask us to remove you.
- Assistant conversations: Kept to support follow-up and improve our responses, then deleted when no longer needed.
You can ask us to delete your information sooner. See Your Privacy Rights.
Data Security
As an IT and security firm, protecting data is core to what we do. We apply layered, industry-standard safeguards:
Encryption in Transit
HTTPS/TLS for all data sent to and from the site.
Hardened Infrastructure
Cloudflare-powered hosting with bot protection and rate limiting.
Access Controls
Least-privilege access to personal data, limited by role.
No method of transmission or storage is completely secure. While we work hard to protect your information, we cannot guarantee absolute security.

Depending on where you live, you may have some or all of the following rights over your personal information:
Access
Request a copy of the personal data we hold about you.
Correct
Update or fix inaccurate or incomplete information.
Delete
Ask us to delete your personal information.
Portability
Receive your data in a portable, machine-readable format.
Opt Out
Unsubscribe from marketing and withdraw consent at any time.
Object / Restrict
Object to or limit certain processing of your data.
How to Exercise Your Rights
Email us at info@rutesolutions.com and tell us what you would like to do. We will respond within the time required by applicable law and may need to verify your identity first.
We will not discriminate against you for exercising your rights. If you are in the EEA or UK and have an unresolved concern, you may also contact your local data protection authority.
U.S. State Privacy Rights
If you are a resident of California or another U.S. state with a comprehensive privacy law, you have the rights described above, including the right to access, delete, and correct your information, and to opt out of any "sale" or "sharing" of personal information. We do not sell your personal information or share it for cross-context behavioral advertising. We honor recognized opt-out preference signals, such as Global Privacy Control, where applicable.
Children's Privacy
Our website and services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

Our site may link to third-party websites and services we do not control. This policy does not apply to those sites. We encourage you to review the privacy policies of any third party before sharing information with them.
Updates to This Policy
We may update this policy from time to time. When we make material changes, we will revise the "Last updated" date at the top of this page and, where appropriate, provide additional notice. We encourage you to review this policy periodically.
By using our website, you acknowledge that you have read and understood this Privacy & Cookie Policy.
